The software allows you to track the time spent on applications classified as productive or non-productive, based on the configuration, for the selected time period, user, or group in the filter. Employees can also propose applications initially marked as non-productive for review by their manager or supervisor, who can approve or deny the request.
The first chart in this panel provides a summary of the top 10 most-used applications for the selected time period and user or group. The second chart displays the percentage of productive applications used relative to total activity. By hovering over the yellow section of the chart, you can see the percentage represented by non-productive applications.
To preserve employee privacy, administrators or managers cannot view the details of non-productive activities. Only the employee with access can see the specifics of their non-productive applications and how they spend their time on them.
Type of application: Indicates whether the activity comes from a program, a website, or an offline activity (meetings and calls are categorized as offline activities).
Application: Name of the application.
Device: The device on which the application was used (meetings and calls are displayed as offline activity).
Productive: Shows whether the application is considered productive or non-productive for the selected work group and date range.
Activity: Total activity time for the users over the selected period.
Average activity: The daily average activity of users for the entire selected period (based on the "Active Days" column).
%: Percentage of the daily average time spent on the application by users during the selected period.
Active days: Number of days users reported activity during the selected period. This column makes it easy to identify whether an employee worked every day or was absent on some days.
Average time per activity: Represents the employee's focus capacity, showing the average uninterrupted time users from this group spent in the application.
(i): Opens a new window displaying a graphical breakdown of application usage by day, group, and employee for the selected date range.
You can access this window by clicking the (i) icon located in the last column of the applications panel table.
The chart displays the total activity per day (in blue) and the average activity per user in the selected group (in gray) for the chosen application. You can hover over each point on the chart to view detailed information about both values for a specific day.
Just below the chart, you will find the same information presented in table format, organized by days, employees, and work groups.
Additionally, the table includes data on average time per activity, which, as you may recall, represents the average uninterrupted time users in this group spent within an application.
For groups, the table also provides information on total productivity and average productivity of the users in the selected group.
Proposal for productive applications by employees
As previously mentioned, employees can view the details of their non-productive applications. Based on this information, they can submit proposals to their managers to have certain applications reclassified as productive.
To view their non-productive applications, employees must click on the "Show non-productive" button located at the top of the summary table of all their applications.
If an employee notices that an application is classified as non-productive but believes it should be considered productive for the development of their role, they can propose it as such by clicking on the corresponding icon.
In the following window, the employee can add a comment that will be visible to their manager or supervisor, allowing them to elaborate further on why the application should be classified as productive for their group.
We can differentiate key applications from other applications used within our organization. Additionally, the new diagram featuring key applications provides insight into the amount of time invested in them. These applications are also marked with a heart icon for easy identification.
What are key applications?
Key applications are those tools that are essential for the daily performance of employees within the organization. They differ from productive applications in that Key Applications are specifically intended for carrying out core daily tasks. For instance, a calendar application might be classified as a Productive Application because it helps organize time. However, it may not necessarily be a Key Application since it is not critical for the execution of the primary job responsibilities.
This chart displays the average active range time for each user during the selected period. By hovering over the gray bar, you can view the average start and end times of the active range. Clicking on the blue section of the chart provides direct access to detailed information.
By clicking on the key applications chart, you can access the usage details section. This provides a breakdown of application usage data that can be viewed in the following ways:
Here, we will find a breakdown into four columns. Date, displays a specific day, total activity, the total activity time of all employees on that day, average activity per user, the average daily activity time per user for that day, average time per activity, the average uninterrupted time each user spent on an activity.
Here, we will find a breakdown into five columns. Employee name, the name of the employee, total activity, the total activity time of the employee, average activity, the employee's average daily activity time, average time per activity, the average uninterrupted time the employee spent on an activity, active days, the number of days the employee was active.
Here, we will find a breakdown into six columns. Work group name, the name of the work group, total activity, the total activity time of the group, average activity per user, the average activity time per user in the group, total productivity, the total productivity time of the group, average productivity per user, the average productivity time per user in the group, active days, the number of days the group was active.
Here, we will find a breakdown into five columns of the key applications used by each user. User name, the name of the user, application name, the name of the key application, total activity, the total activity time of the user in the application, average activity, the user's average daily activity time in the application, active days, the number of days the user was active in each application.
