Project management software has developed a unique system of conditional rules in the market to automatically detect which project you are working on and accurately log your work time for that project. Say goodbye to oversights and errors. With this innovative rule-based system, the entire process is now automated and, above all, objective.
To use it, you only need to acquire the APS (Automatic project selector) plugin, a unique tool in the market that enables the automatic detection of the project you are working on.
You will find the APS icon in your taskbar, next to the WorkProject icon.
The Conditional Rules System will automate project switching based on predefined rules. These rules are very simple to set up, as they operate on the IF -> THEN principle.
These rules evaluate your interaction with the computer every few seconds and switch the project if one of those rules is met.
You can add as many rules as you want. It is also possible to order them so that some have higher priority than others, as they will be processed in the order they appear. A rule can be configured so that, if it is fulfilled, it stops evaluating the following ones.
The first step for the automatic project detector to work is to configure the conditional rules system. To do this, right-click on the project management icon located in the bottom-right corner of your taskbar. Then click on "Rules" to start creating and configuring them.
This is the main screen of the Conditional rules system. On this screen, you will see the active rules, ordered by action priority. Rules ending with a "[stop]" are configured to halt the evaluation of rules listed below them if they are fulfilled.These are the main components of the rules screen:
In the rules window, by clicking on the add rule (+) button or the edit button (or double-clicking on a rule), the rule creation/editing window will appear.
In this window, you can define what condition will be evaluated, how and with what the obtained value will be compared, and the action to be performed.
Following the "IF..." label, you can choose the type of rule you want to configure.
Rules can be divided into two groups:
Content detection: These can check the name of an application, window title, URL content, etc.
Context detection: These can check the physical location or moment in which an action is taking place.
The rules from the first group (Content detection) that can react based on content are as follows:
Window title: Evaluates the title of the current application or window.
Application name: Checks the name of the current application.
File Name or URL: Checks the name of the file or the browser URL.
Folder or file path: Relates to the location (container) of the file.
The rules from the second group (Context Detection) that can react based on context are as follows:
Time: Evaluates the time of day (in hh:mm format).
Day of the week number: Checks the day of the week (from 1 to 7).
Network name: Detects the name of the Wi-Fi network being used.
Rules can trigger project selection, stop tracking, or restart it.
Through the project management menu, which appears when you right-click on the icon, you can access additional options for the Conditional Rules System. Update project list: Allows you to define how often project management syncs projects. If your organization generates new projects daily, you can increase the synchronization frequency.
Sound on project change: Plays a "beep" sound every time a project is switched.
Show notifications: Choose whether or not Windows notifications appear each time a project is changed.
Enable global hotkeys: Allows manual project selection using the key combination CTRL+SHIFT+“n”, where “n” corresponds to the project index as listed in the menu.
Start minimized: Hides the rules window when WorkProject starts.
High frequency (Experimental): Makes project detection faster (may cause issues on slower systems).
Use system voice: Enables the system's built-in voice to announce project changes.
Get all the information about the automatic project selection o APS module, its configuration, and functionality.
With the APS module, it will be possible to automate project switching using rules that detect the project's context based on the folder, window title, file name, etc. This allows you to activate the relevant project automatically based on those rules.
