With our software, you can create agreements and add the types of days where it is necessary to track balances. The configuration of agreements is done on an annual basis, so the pending days from previous years are not registered in the agreement and must be added and modified for each employee or group.
Below, you will find a video that will guide you through the creation process.
To configure this functionality, you must create or select the day types in Settings > Calendars > Day Types and enable the option "Day type eligible for balances in agreements (Day balance)."
Once the day types are configured, go to Settings > Calendars > Agreements to create a new agreement.
By default, the option "Do not allow excess days in the agreement" is selected.
This option allows you to control requests for extra days in the calendar.
For example, if an employee has 22 working days of vacation as per their agreement, they will not be able to request more than this number of days. If they try to do so, an error pop-up will appear.
Now, you can set a limit, adjust the day types for your organization's agreements, or establish an expiration date for using them.
The day types may not be the same for each agreement. Therefore, we make their management and administration easier by adding the option to limit and set the maximum number of days for each agreement.
Remember, to modify the days, you must click on the button:
Employees can request half days of vacation or other days as per their agreements. As a result, half days will be reflected in the agreement limits.
The employee will also see this change in their day balance on the summary panel.
Note: It is important to remember to use the decimal point when entering it in the agreement.
You can also configure the number of agreement days based on calendar days or working days.
Some employees may still have vacation days from the previous year. You can set expiration dates for these types of days using the "Consume before" option.
We recommend limiting this expiration date to within the first quarter of the year.
You can also assign agreements to groups and employees. Follow along with our illustrative video provided below.
To assign an agreement to a group or employee, go to Settings > Organizational Chart > Groups or Employees, depending on your configuration preference.
In the "Groups" panel, click the edit icon for the selected group and choose the created agreement from the "Agreements" dropdown.
In the "Employees" panel, click on the column with the calendar icon and select the created agreement.
