All profiles can view the calendar: The employee can view their own calendar, the Administrators and group managers can filter by a user and view that user's calendar.
When filtering by employee within the calendar section, the types of days used are displayed in different colors, according to the summary at the bottom of the screen. This makes it easier to identify them.
Bottom section: A line that indicates the type of day.
What does the background color of each day indicate? If there is no background color, it means it's a normal day, such as a holiday without an expected activity or a workday where we reported activity close to the expected.
Today
Day with no activity detected (these are the days we can edit to add activity)
Activity below expected (activity is below 60% of the expected value)
Locked edit: The day is locked for editing due to date restrictions, pending edits to process, or approvals needed.
Day pending approval: A change in the type of day has been requested but has not yet been approved.
If the general configuration option allows calendar editing without approval: The employee will be able to modify their calendar day types to mark holidays, vacations, telework, etc.
Modifiable:
Un día concreto
A specific day
A date range
To select a range, simply click and drag. Editing a range does not allow changes to be applied to all years, only to the current year.
If the general configuration option allows calendar editing with approval: Days will be marked as pending, awaiting manager approval for the change. Until then, they will retain their previous day type.
If the general configuration option allows activity editing: If activity editing is permitted, the employee can add activity directly from the calendar on days without any pre-existing activity (ONLY ON DAYS WITHOUT ACTIVITY).
To add activity, simply drag the mouse.
Group managers will always have the ability to edit an employee's day types.
If employee calendar editing requires authorization:
Managers will see employees' pending requests on the right side of the screen (they will also receive notifications regarding these requests).
If the general configuration option allows activity editing:
Group managers will also be able to add activities to an employee's empty days.
We have added a filter to all panels displaying data based on an expected value. These panels include:
Time map
Productivity by day, Employee, and Group
Summary schedule by employee and group
Detailed schedule
Overtime reports and work-life balance
You can now filter data by day type. Multiple day types can be selected simultaneously. Once you have selected the desired day types to include in the filter, click the apply changes button.
If the filtered day type is not within the selected date range, the data table will appear empty. Otherwise, the table will always display at least the expected data.
Important notes:
Employees with expected activity days will impact the data even if they do not report activity.
This means that if an employee does not report activity but remains active, they will still be included in the calculation of averages and the percentage of activity versus expected values. Therefore, it is crucial to keep the employee list updated (Configuration > Organizational chart > Employees).
When a user is disabled, the termination date is set to today's date by default. You can change this date to an earlier one by following these steps:
On days without expected activity (e.g., weekends), if some employees report activity, this activity will be included in the total activity hours but will not be factored into the calculation of averages.
In the "Calendar" section, you can view the employees' calendar by clicking on the "Group Comparative View" box.
Once in the group calendar, you can view the day types for each employee, as indicated in the legend box at the bottom of the screen. You can also select the year you are most interested in viewing.
You can export the calendar to an Excel document with just one click. This allows you to have a more comprehensive and precise overview of all the days allocated to each employee, such as absences, vacations, intensive schedules, reduced hours, etc.
